1. Who we are

The website located at australianweddingcelebrants.com.au (the "Website") is owned and operated by Withers XYZ Pty Ltd as trustee for the Snow Withers Trust, ABN 37 709 073 991 ("we", "us", "our").

We are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy explains how we collect, use, disclose, and store personal information.

2. What personal information we collect

We collect only the personal information that you voluntarily provide to us. We do not use tracking codes, analytics scripts, advertising pixels, or similar tracking technologies on this Website. We do not use cookies for tracking purposes.

The personal information we may collect includes:

From website visitors (via the contact form)

• your name
• your email address
• the subject and content of your message

From celebrants (via the listing application)

• your name and business name
• your email address
• your website URL and social media links
• your professional photo or logo
• your biography and service description
• your location and areas of service
• documentation submitted for tier verification, which may include insurance certificates, qualifications, review links, and statutory declarations

3. How we use your personal information

We use personal information only for the purposes for which it was collected:

• Contact form submissions: to respond to your enquiry or message.
• Celebrant listing applications: to assess your application, create and maintain your directory listing, verify tier eligibility, and communicate with you about your listing.
• Tier verification documents: to verify your eligibility for Endorsed or Luminary tier status. These documents are reviewed internally and are not published on the Website.

We do not use your personal information for marketing, advertising, or profiling purposes. We do not sell, rent, or trade personal information to any third party.

4. How we store and protect your information

Personal information is stored using the following infrastructure:

• Contact form submissions are delivered to our email and processed via our form handling provider.
• Celebrant listing data (names, descriptions, photos, and public profile information) is stored in a public Git repository on GitHub and published to the Website as static content. By submitting a listing, you consent to this information being made publicly available.
• Authentication sessions and temporary data (magic link tokens, session tokens) are stored in Cloudflare KV with automatic expiry — magic links expire after 15 minutes and sessions after 24 hours.
• Tier verification documents are stored in Cloudflare KV with a 90-day retention period, after which they are automatically deleted.
• Images submitted with listings are processed (converted to WebP format) and stored as part of the Website's static content.

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, and disclosure. However, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

5. No tracking or analytics

This Website does not use:

• Google Analytics or any other analytics platform
• Facebook Pixel, Google Ads, or any advertising tracking
• Third-party tracking cookies
• Fingerprinting or similar identification technologies

Our hosting provider (Cloudflare) may collect basic server logs (such as IP addresses and request timestamps) as part of standard web infrastructure. We do not access or use this data for tracking individuals.

6. Use of AI in listing processing

When a celebrant submits a listing, we use AI (Anthropic's Claude API) to assist with editing the biography for grammar, generating an SEO-optimised meta title, and writing a third-person description. The information processed is limited to the content you submit with your listing (such as your name, bio, and location). This processing occurs on Anthropic's servers. We do not send your email address, authentication tokens, or tier verification documents to any AI service.

6b. Agent and AI interfaces (MCP, A2A, ChatGPT apps)

The Website publishes several machine-readable surfaces so AI assistants and autonomous agents — including ChatGPT, Claude, Perplexity, and custom tools built by third parties — can read the directory and help couples find a celebrant. See /ai for a plain-English overview.

MCP server (read-only)

We operate a Model Context Protocol server at api.australianweddingcelebrants.com.au/mcp. It exposes read-only tools that search the directory, list celebrants by location or tier, and return a celebrant's full public profile. The server does not receive, store, or log any personal information about the person using the assistant — only the free-text query string, the requesting IP address, and standard Cloudflare request metadata. Queries are processed at the edge and responses are cached for up to 5 minutes; no conversation content from ChatGPT or any other assistant is sent to us.

A2A enquiry relay

We operate an Agent-to-Agent endpoint at api.australianweddingcelebrants.com.au/a2a that lets an assistant acting on behalf of a couple relay a wedding enquiry to a specific celebrant by email. To use the enquire_celebrant skill, the assistant must supply:

• the couple's names and email address (used solely as Reply-To on the email we send to the celebrant)
• the wedding date and location
• a short description of the ceremony
• the name of the assistant making the request

We retain a log of each enquiry for 30 days in Cloudflare KV (celebrant slug, requesting IP, agent name, couple email, wedding date and location, plus a send timestamp and report-spam token) so a celebrant can flag the enquiry as spam if it's abusive. After 30 days the log expires automatically. We do not use enquiry data for marketing, analytics, or profiling, and we do not share it with any third party other than the celebrant the enquiry is being sent to.

Celebrants can opt out of agent-relayed enquiries at any time by unchecking "Let AI agents relay wedding enquiries to my email address" on their listing edit page.

Rate-limit counters

We maintain short-lived counters (keyed by requesting IP and celebrant slug) in Cloudflare KV to enforce the abuse limits described at /ai. These counters expire after 24 hours. We do not retain raw IP addresses beyond the ban window of any celebrant who has reported spam (30 days).

Content-Signal preferences

Our robots.txt publishes a Content-Signal directive of ai-train=no, search=yes, ai-input=yes. This asks compliant crawlers and AI platforms not to use celebrant biographies as training data, while still permitting search indexing and AI-assisted answers. Compliance with Content Signals is voluntary on the platform's side; this is a stated preference, not an enforceable technical measure.

7. Disclosure of personal information

We may disclose personal information to:

• Service providers who assist in operating the Website — including Cloudflare (hosting, edge computing, and storage), Netlify (static site hosting), GitHub (code and content hosting), and Anthropic (AI text processing). These providers may process data on servers located outside Australia, including in the United States.
• Law enforcement or regulatory bodies where required or authorised by Australian law.

Published celebrant listings (names, photos, descriptions, websites, and locations) are publicly accessible on the Website and may be indexed by search engines and accessed by AI systems. This is the intended purpose of the directory.

8. Overseas disclosure

Some of our service providers operate in or have servers located in countries outside Australia, including the United States. By using this Website or submitting information to us, you consent to the disclosure of your personal information to overseas recipients in accordance with APP 8. We take reasonable steps to ensure that overseas recipients handle your personal information in accordance with the APPs.

9. Your rights

Under the Australian Privacy Principles, you have the right to:

• Access the personal information we hold about you.
• Request correction of any personal information that is inaccurate, out of date, incomplete, irrelevant, or misleading.
• Request deletion of your personal information, subject to any legal obligations we may have to retain it.
• Request removal of your celebrant listing at any time.

10. Children's privacy

This Website is not directed at children under 18 years of age. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us and we will delete it promptly.

11. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. We encourage you to review this page periodically. Your continued use of the Website after changes are posted constitutes acceptance of the revised policy.
